1.Information we collect
We collect information you provide directly and information generated as you use the Service:
- Account & business details — your name, email address, phone number, business name, Tax Identification Number (TIN), and where applicable VAT registration and filing details.
- Financial & transactional data — invoices, quotations, bills, expenses, receipts, customers, suppliers, products, and the accounting records you create or upload.
- Uploaded documents — images and files of receipts and invoices you scan or upload for processing.
- Usage & device data — log data, IP address, browser type, pages visited, and actions taken, used to operate and improve the Service.
2.How we use your information
We use your information to:
- Provide, maintain, and improve the Service and its features;
- Generate your accounting records, reports, and FRCS-ready VAT returns;
- Process receipts and extract data using AI (see section 3);
- Process subscription payments and manage your plan;
- Communicate with you about your account, updates, and support requests;
- Detect, prevent, and address security issues, fraud, or misuse;
- Comply with legal and regulatory obligations in Fiji.
3.Receipt scanning & AI processing
When you scan or upload a receipt or invoice, the image may be processed by third-party artificial-intelligence services to extract details such as the supplier, date, amounts, TIN, and VAT. This processing is performed solely to provide the data-extraction feature to you. We do not use your documents to train third-party AI models.
4.Payments & billing
Subscription payments are handled through our payment providers (including M-PAiSA and other supported gateways). Payment credentials such as card or mobile-wallet details are entered with, and processed by, the payment provider — TaxFiji does not store your full payment credentials. We retain records of transactions (amount, date, plan, and status) for billing and accounting purposes.
5.Sharing & third-party services
We do not sell your personal information. We share information only as needed to run the Service:
- Infrastructure & hosting — cloud hosting and storage providers that store your data securely.
- AI processing — the AI providers used for receipt data extraction.
- Payment providers — to process subscription payments.
- Professional review — where you opt in, a qualified accountant/CPA who reviews your books on your behalf.
- Legal & regulatory — authorities (such as FRCS) where required by law or with your authorisation.
6.Cookies & tracking
We use essential cookies to keep you signed in, remember your preferences (such as the collapsed/expanded sidebar), and keep the Service secure. We may use limited analytics to understand how the Service is used so we can improve it. You can control cookies through your browser settings, though disabling essential cookies may affect functionality.
7.Data security
We use industry-standard safeguards to protect your information, including encryption in transit, secure password hashing, access controls, and business-level data scoping so your records are only accessible to authorised users of your business. No method of transmission or storage is completely secure, but we work continuously to protect your data.
8.Data retention
We retain your information for as long as your account is active and as needed to provide the Service. Because accounting records may be subject to statutory retention requirements in Fiji, some records may be retained for the period required by law even after account closure. You may request deletion subject to those obligations.

- Request correction of inaccurate or incomplete information;
- Request export of your data or deletion of your account;
- Object to or restrict certain processing;
